RMI CONCLUDES TRAINING ON ELECTRONIC FILING FOR MMI STAFF AT RMI-MUHIMA CAMPUS.

On 08 November 2024, Rwanda Management Institute completed a five-day training for Seven Military Medical Insurance staff on Electronic Filing. The lessons learned will help the staff to improve their performance at the workplace by improving their efficiency, reducing  administrative work, protecting data, improving compliance, and improving the accessibility.

Electronic filing system, also known as an electronic document management system (EDMS), is a computer-based system that stores, organizes, and retrieves documents as electronic files. It can replace traditional paper filing systems and allows for the secure and quick transmission of information. 

At the closing ceremony, trainees were commended and encouraged to use effectively the skills learned in the benefit of the institution.

“As we bring this training session to a close, we thank you for your dedication in the training. The knowledge you gain from this will be a valuable resource for you to improve your performance at work and put into practice the electronic filing by developing software which will help in the matter“, the representative of RMI said.

The facilitator explained how the e-filing system helps to simplify work and prevent the loss of documents used in the workplace.

“You see, we are moving towards technology. Before computers, people kept their documents physically. So for the e-filing system to work, you first need to know the structure of the organization, how the work is done, how documents are stored, and then with the technology available, people need to store their documents electronically. The procedure to doing it is to scan  your physical documents and you index them for easy retrieval. This will help simplify the way documents are transferred, their security, and prevent them from being lost”, said the facilitator.

In order to be able to create an e-filing system, you must first have a clear way to store your documents. Now, take that way and convert it into an electronic format so that you can access what you want in an easy and non-destructive way, which allows you to share information faster than before.

The representative of the trainees said that the training in E-filing system will help them ensure that files are correctly stored and avoid rejections, which can save time, improve security and have more backups.
